Rental Policies

Reservation Payment

To make a reservation, 50% of the advanced rental payment is due at the time of booking. The remaining 50% is due 45 days prior to the arrival date. If booking within 45 days of arrival, the balance of the reservation payment is due within 24 hours of booking. Pensacola Beach Rentals accepts the following credit cards: Visa, Discover, and MasterCard. Checks are accepted with the following limitations: for the initial payment the check must be overnighted and for the remaining balance the check must be received within 45 days of arrival. Published rental rates are subject to change without notice. We reserve the right to correct rates that may have been misquoted due to human and/or computer error.

Check-in

During the summer, check-in begins after 4:00 PM.  During the off-season, check-in is from 3:00 to 5:00 PM.  All renters are required to check-in at our office, 41 Via de Luna Drive, Pensacola Beach, FL 32561. Due to the nature of vacation rentals, check-in may be delayed due to maintenance or cleaning issues.  We are unable to provide refunds due to late check-in.

If you are seeking an early check-in, please call PBR at least 1 day prior to date of arrival to discuss.  Please understand that we will attempt to accommodate all early check-in requests, however, we cannot guarantee an early check-in due to cleaning, maintenance, etc.  Please give PBR advance notice if you predict your arrival time to be later than 5 PM CST.  Insofar as all paper has been completed and total balance inclusive of additional cost of $5.00 for late arrival is paid in full, we would be happy to prepare late arrival packet to include key(s), parking permit(s) and directions to your rental property to remain at a predetermined place for you to pick-up.

Directions to PBR from toll booth of Bob Sykes Toll Bridge:  Continue straight through the only traffic light on Pensacola Beach and PBR is 1/2 mile ahead on Via De Luna Drive on your left in a small strip mall next door to Islander Bar and Native Cafe.

Cancellation Policy and Travel Insurance

All cancellations are subject to a cancellation fee of $75.00 or 8% of prepaid rent, whichever is greater. If we receive an email stating intent to cancel at least 91 days prior to check - in, any prepaid rent less $75 cancellation fee or 8% of prepaid rent, whichever is greater, shall be returned.  If we receive an email stating intent to cancel 90 days or closer to check-in, tenant forfeits all prepaid rent.  No refunds will be provided by Pensacola Beach Rentals in the event of unforeseen circumstances including weather and nearby construction. To prevent a potential loss, we strongly recommend purchasing Travel Guard Trip Insurance.  Guests that chose to purchase trip insurance, please contact Travel Guard at 877-249-5376.

Check-out

All keys must be returned to the PBR office by 10:00 AM on the date of departure.  All guests and belongings must be out of the unit when the keys are returned to our office.  While we provide the departure cleaning, we ask that you please leave the property neat and orderly.

1.       Remove all food from the refrigerator.

2.       Load dirty dishes into the dishwasher and turn on.

3.       Leave furniture arranged as you found it.

4.       Put the garbage in study plastic bags and put in outside receptacle provided.

5.       Turn the A/C up to 75 degrees

6.       Close and lock all windows and doors.

7.       Return all keys to the office. Minimum $15 per key for non returned keys.

Before leaving check all closets, dressers, washing machine and dryer for personal belongings. We are not responsible for items left in unit after your departure.  If an item has to be returned to the owner because it was left in the unit, the minimum charge is $25.  Any items otherwise unclaimed will be considered abandoned after 5 days from your departure.

Maintenance and Housekeeping

At check-in, inspect the unit for any maintenance or cleaning problems and immediately report to the office at 850-932-3530. Our maintenance and housekeeping staff will work to rectify any reported issues; however, no refunds will be given for appliance failure, outages of electricity, gas, water, cable, or telephone service. Pensacola Beach Rentals staff, maintenance, and housekeeping may enter the property during normal business hours to complete repairs as needed.  If possible, PBR will attempt to notify you in advance.

We do not guarantee internet or Wi-Fi due to service being provided by an outside vendor and several other factors that may lead to interruption of internet service.  In the event the internet or Wi-Fi is not working, we will do our best to troubleshoot over the phone but if it requires assistance from the internet provider, the guest will be responsible for contacting the provider because they will need to speak with someone at the property. No refunds will be given due to loss of internet service.

Fees

For the properties that are pet friendly, the renters must have written permission and must pay a non-refundable pet fee.  If any evidence of an unauthorized pet is found in any unit from guest arrival up to feedback delivered from cleaning staff following guest departure, a $300 penalty fee would be applied to the charge card on record.  Smoking is not permitted in our properties; any guests that have smoked in the rental property as determined solely by our cleaners will incur a minimum penalty fee of $150.00.

If you lock yourself out of your property after office hours, you will need to call Ace Unlocks at 850-932-LOCK. You will be responsible for paying any applicable fees directly to Ace Unlocks at the time they come out. If you lock yourself out of your property during office hours, we will be happy to come let you in at no charge.

Substitution

Due to circumstances beyond our control such as sale, foreclosure, or maintenance issues, we reserve the right to substitute property in the event your property is unavailable.  We will make every effort to relocate your reservation to similar property, but cannot guarantee another vacation property will be available. No discounts or refunds will be given due to such changes, including moves, bedding sizes/selections and furnishing.  We reserve the right to cancel any reservation.

Property Rules and Regulations

Reservations are only accepted for families and responsible adults at least 25 years of age.  No student group reservations will be honored unless written approval is delivered by PBR.  No weddings, receptions, parties, or pets are allowed at any time in any rental unit without prior written permission.  The number of people spending the night cannot exceed the number of people the unit is advertised to sleep.  Exceeding the number of overnight guests, having a pet or party in or at a rental property will void the contract and therefore be subject to eviction and forfeiture of any rental payments. 

Sheets, pillow cases, bath towels, hand towels, kitchen towels, washcloths, bath mats, and an initial supply of toilet tissue, garbage bags, and bath soap are provided.  It is your responsibility to bring any beach towels, additional toilet tissue and garbage bags you may wish to use with you. PBR will not be liable for any damages to rental property or furnishings, nor for injuries resulting from any accident that may occur in or on the premises during our guests' occupancy.  PBR will not be held responsible for acts of theft or vandalism or other damages to the guests' personal items left in the unit.

Please observe all rules and regulations governing the use of the property you are occupying.  Parking is limited to 2 cars per condo.  Parking passes will be provided at check-in. No trailer, boats, or RV’s are allowed at condominiums or townhouses; renter is responsible for making alternate arrangements.  Condominium pools are maintained by the condo association therefore we cannot provide refunds resulting from issues related to the availability of the pool.
